Job Description

We have a great opportunity to join the Chief Executive and Chief Land Registrar’s Office, as a Board Secretariat Lead. In this role you will be responsible for a range of our most senior governance boards and committees to ensure that HMLR runs effectively and efficiently and complies with high standards in corporate governance.

This a fast paced and high-profile role that will allow you to gain experience, engage with senior leaders and make a real impact at the heart of HM Land Registry.

In this role you will be working closely with the other two Board Secretariat Lead’s and Assistant Board Secretariats, to deliver the full set of HMLR corporate governance boards and committees (currently nine) and to ensure consistency and continuity in delivering Board Secretariat services to HMLR senior managers. 

You will have end-to-end responsibility to plan, manage and deliver each of your boards and committees, including leading on the development of agendas, taking into account strategic priorities and directors requirements including challenging where appropriate.

You will be responsible for the reporting and oversight of follow up actions flowing from the meetings. Quality assurance of papers and delivery to members in a timely fashion, including commissioning papers and ensuring submissions are in line with HMLR’s governance processes.

You will be responsible for managing the meeting itself and taking minutes, using your knowledge and networking capability to ensure the effectiveness of the board or committee in focussing on key issues.  Managing the terms of reference and other governance tasks such as information asset management, managing conflict of interests, ensuring public statements in the annual report are correct. 

You will identify risks and mitigating actions, identify opportunities for continuous improvement and Manage relationships with HMLR directors and non-executive board members, as well as a variety of colleagues from across HMLR.

You will be comfortable working in a flexible way, at pace, and where you can cover for the other Board Secretariat Leads when required. 

Where an individual taking up the responsibility will be based in Swansea Office, the ability to speak Welsh is desirable.

Hybrid working: You will be assigned to a contractual ‘home’ office, however we believe that a blended approach to where you work – with some time in the office and some time at home, may give you an improved experience and has clear business benefits to us.

To be successful in this role, you will have experience in a similar role which includes providing first class secretariat support to senior/directing boards or committees in a fast-paced environment, maintaining confidentiality. You can assimilate large amounts of information at pace with a consistently high degree of accuracy, including thorough minute taking.

Through your excellent organisational skills and experience of MS office packages, you will have the ability to prioritise tasks and work to meet tight deadlines, under pressure with changing priorities. You have a proven track record of stakeholder relationship building and management with senior staff and with strong communication skills to support that. You can work successfully alone and as part of a team.
